5 Tenant Screening Best Practices for Kenyan Landlords

Why Screening Matters

A bad tenant can cost you 6-12 months of rental income through arrears, property damage, and legal fees. In Kenya, where eviction can take 3-6 months through the courts, prevention is worth far more than cure.

1. Verify Identity Documents

Always collect and verify:

  • National ID (front and back) or Passport
  • KRA PIN (optional but useful for higher-end tenants)
  • Recent passport photo

Cross-reference the name on the ID with the name on employment documents. Discrepancies are a red flag.

2. Assess Income Stability

The golden rule: rent should not exceed 30% of gross monthly income.

Request:

  • 3 months of M-Pesa statements (most reliable in Kenya)
  • Employment letter with salary confirmation
  • For self-employed: 6 months of bank statements

Pro tip: M-Pesa statements reveal spending patterns, income consistency, and financial discipline better than any reference letter.

3. Check Rental History

Contact previous landlords — not just the current one (they may be eager to offload a problem tenant). Ask:

  • Did they pay on time?
  • How did they maintain the property?
  • Would you rent to them again?

4. Use a Trust Score

Modern property management platforms like PropTraka generate a Trust Score based on:

  • Identity verification completeness
  • Income-to-rent ratio
  • Payment history (from previous landlords on the platform)
  • Document quality and consistency

A trust score of 70+ is generally considered good. Below 50 warrants additional scrutiny.

5. Conduct a Property Viewing Interview

Meet the prospective tenant in person. Observe:

  • How they treat the current property during viewing
  • Questions they ask (maintenance-focused tenants are good tenants)
  • Timeline urgency (desperate moves can indicate problems)

The Screening Checklist

  • National ID verified
  • Income proof collected (M-Pesa/bank statements)
  • Employment confirmed
  • Previous landlord contacted
  • Trust score generated
  • In-person viewing conducted
  • Deposit and first month collected before key handover
