Why I Built PropTraka: A Kenyan Property Manager's Story

A Kenyan property manager on the rent-chasing, spreadsheet, and KRA grind that pushed him to build PropTraka — and how it's designed to take that load off your plate.

My name is Sospeter. I'm a Kenyan property manager, and I built PropTraka. But before I built it, I lived the problem — for years.

The Before

By 2024, I was managing a growing book of rental units across Nairobi on behalf of several owners. Properties in the satellite towns, units in South B, a block near Langata. Nothing glamorous — solid middle-income housing that should have been straightforward to run.

It wasn't.

My "property management system" was an Excel spreadsheet with colour-coded tabs (one per property), a WhatsApp group for each building, and a calendar reminder on the 1st of every month that said: "Send rent reminders."

On the 1st, I'd copy-paste a polite message into each WhatsApp group. By the 5th, I'd follow up individually with the tenants who hadn't paid. By the 10th, I'd start making phone calls. Those calls were always awkward — you're essentially asking someone for money, and no matter how you phrase it, it feels like that.

Some tenants were genuinely going through a hard month. Some just needed a nudge. And some had turned ignoring my messages into an art form.

Then there was KRA. Every month, I'd log into iTax, work through each property's rental income, calculate the tax, and file. If I was lucky, it took an hour. If the system was slow — which was often — it took an entire afternoon. And I lived with a low-grade anxiety that I'd miscalculated something and a penalty was coming — a penalty that would land on an owner who trusted me to get it right.

Receipts? I was generating them in Google Docs. Copy template, change the name, change the amount, change the date, export to PDF, send via WhatsApp. For every single tenant. Every single month.

The Breaking Point

I remember the weekend that broke me. It was a Saturday. My family was at the park, and I was at the dining table with my laptop, reconciling three months of M-Pesa statements against my spreadsheet because two tenants were claiming they'd paid and my records said otherwise.

I spent six hours on it. Six hours of cross-referencing transaction codes, scrolling through M-Pesa messages, and trying to figure out whether a payment of KES 24,800 was from Tenant A (who owed KES 25,000 and sent a short payment) or Tenant B (who owed KES 24,800 for a prorated month).

By the time I finished, I'd missed the entire day with my family. And the thought that hit me was this: I'm not running a property management business. I'm an overwhelmed admin clerk.

I got into property management to help owners get the most from their properties — and to build something of my own. Instead, I'd built a job that owned me. One with no leave days, that was always on call, and that was slowly eating into the time I was supposed to be spending on the things that mattered — and on actually serving my clients well.

Looking for a Solution

The next week, I went looking for software. There had to be a property management platform that handled rent collection, receipts, tax compliance, and tenant communication the way I needed to work.

There are options out there — international platforms built for the US, UK, and South African markets, and some local ones too. I tried what made sense. But none of them fit the way I actually run properties here:

  • The way they handled M-Pesa didn't match how rent really arrives in Kenya — matching mobile-money payments to the right tenant was still a manual job.
  • KRA compliance — MRI tax, eTIMS, withholding tax — wasn't built in the way I needed it to work.
  • The Kenyan reality didn't quite fit — many tenants earn in the informal economy, so credit-bureau assumptions borrowed from other markets don't map cleanly here.
  • And the international tools came with dollar pricing, foreign-time-zone support, and help articles that referenced "1099 forms."

None of them were bad tools. They just weren't built around how I needed to manage Kenyan properties — Kenyan tenants paying via Kenyan mobile money, under Kenyan tax rules. So I built the one I wanted to use.

What I Built It To Do

I built PropTraka to do the job that was drowning me — and to do it the way it actually has to work in Kenya, where rent comes in over M-Pesa and KRA wants its records.

Here's how it's designed to work once your properties are set up:

You stop sending rent reminders by hand. PropTraka sends them automatically — polite, professional messages 3 days before rent is due, on the due date, and 3 days after if payment hasn't come through. No copy-pasting into WhatsApp groups, no awkward personal follow-ups.

When a tenant pays by M-Pesa, the payment is matched to the right tenant and unit, recorded against the lease, and reflected on your income dashboard — so you're not cross-referencing M-Pesa SMS against a spreadsheet on a Saturday afternoon. Anything the system can't match with confidence goes to a Needs-Review list, so nothing quietly slips through.

Your tenants get their own portal too. They can see their lease, their payment history, and what's due next, and raise maintenance requests there instead of texting you at 11pm about a leaking tap.

And when KRA filing time comes, the numbers are already organised — per property, per owner — instead of an afternoon lost in iTax. (eTIMS rent invoicing is coming soon; once it goes live and your KRA credentials are connected, that side will run in the background as well.)

The whole point is this: after a one-time setup, the repetitive admin stops being yours to do. You stay on the judgement calls and the relationships with owners; the system carries the grind.
